1. Who we are

Ionect operates the website https://ionect.tech and is the data controller for personal data collected through this site.

If you have any question about this policy or about how we handle your personal data, contact us at privacy@ionect.tech. We aim to respond within one month, in line with the General Data Protection Regulation (GDPR).

2. What personal data we collect

We only collect personal data when you choose to provide it. The website does not require an account.

Through the contact form at https://ionect.tech/contact:

  • Your name (required)
  • Your email address (required)
  • Your phone number (optional)
  • The subject of your enquiry (optional)
  • Your message (required)
  • Marketing attribution parameters (utm_source, utm_medium, utm_campaign), if present in the URL through which you reached the form

Providing this information is voluntary. If you do not provide at least your name, email, and message, we cannot respond to your enquiry.

Automatically when you visit the site:

  • Standard technical information needed to deliver the website (IP address, browser type, pages visited, timestamps), processed by our infrastructure providers for security and abuse prevention.
  • A privacy-preserving signal from Cloudflare Turnstile, used solely to confirm you are not an automated bot when you submit the contact form. Turnstile does not track you across other websites.

3. How we use your personal data

We use the personal data you provide to:

  • respond to your enquiry and any follow-up communication;
  • keep a record of the conversation in our customer relationship management (CRM) system;
  • understand which marketing channels generate enquiries (UTM parameters);
  • protect the website and the form from spam, fraud, and abuse.

We do not use your personal data for automated decision-making or profiling. We do not sell your personal data, and we do not share it with third parties for their own marketing.

4. Legal basis (GDPR)

We rely on the following legal bases under Article 6 of the GDPR:

  • Legitimate interest (Article 6(1)(f)) to respond to enquiries you initiate through our contact form, since you have a clear expectation of receiving a reply, and to protect our website and systems from abuse.
  • Compliance with a legal obligation (Article 6(1)(c)) where the law requires us to retain certain records.

Where we ask you for additional consent for a specific purpose (for example, to receive newsletters), the legal basis for that processing is your consent (Article 6(1)(a)), and you can withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

5. Who we share your data with

We share personal data only with the service providers required to operate the website and respond to your enquiry. Each acts as a processor on our behalf under a data processing agreement.

  • Odoo S.A. (Belgium), our CRM system. Contact-form submissions are stored as leads in Odoo.
  • Lovable (frontend hosting and serverless functions), which runs the website and the form-submission backend.
  • Cloudflare, Inc. (United States), for DNS, content delivery, security, and spam protection (Turnstile).
  • Microsoft 365 (Microsoft Ireland Operations Ltd.), which handles email for our @ionect.tech mailboxes.

We do not transfer your personal data to any other third party except where required by law or where you have given specific consent.

6. International transfers

Some of our service providers (notably Cloudflare and Lovable) are based in or operate from outside the European Economic Area, including the United States. When personal data is transferred outside the EEA, we rely on the European Commission's Standard Contractual Clauses or another lawful transfer mechanism recognised under the GDPR to ensure your data continues to receive an equivalent level of protection.

7. How long we keep your data

  • Contact form submissions and resulting CRM records: kept for as long as needed to handle your enquiry and to maintain our legitimate business records. Where no business relationship results, we delete or anonymise the record within three years of the last contact.
  • Email correspondence: kept in line with our standard email retention practice, and reviewed periodically for deletion.
  • Technical and security logs: kept by our infrastructure providers for as long as needed for security and abuse prevention, typically no more than twelve months.

You can request earlier deletion at any time (see Section 9).

8. Cookies and similar technologies

The website uses only the technologies strictly necessary to deliver and secure the service:

  • Cloudflare may set a small number of cookies to detect malicious traffic and to deliver the website efficiently. These are essential for security and do not track you across other websites.
  • Cloudflare Turnstile uses local, privacy-preserving signals to confirm you are not a bot when submitting the contact form. It does not set tracking cookies.

We do not use advertising cookies, third-party analytics cookies, or cross-site trackers. If this changes in the future, we will update this page and ask for your consent where the law requires it.

9. Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you and receive a copy of it;
  • rectify inaccurate or incomplete personal data;
  • erase your personal data ("right to be forgotten") in certain circumstances;
  • restrict the processing of your personal data in certain circumstances;
  • object to processing carried out on the basis of our legitimate interest;
  • receive your personal data in a portable format and have it transmitted to another controller, where technically feasible;
  • withdraw consent at any time, for any processing based on consent.

To exercise any of these rights, email privacy@ionect.tech. We will respond within one month and may ask you to verify your identity before acting on the request. Exercising your rights is free of charge, except where requests are manifestly unfounded or excessive.

10. Complaints

If you believe we have not handled your personal data in line with the GDPR, please contact privacy@ionect.tech first so we can address your concern. You also have the right to lodge a complaint with the Belgian Data Protection Authority:

11. Security

We use appropriate technical and organisational measures to protect personal data, including HTTPS everywhere on our website, spam and abuse protection on forms, encrypted storage at our service providers, and access controls on our CRM system.

No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify you in accordance with Article 34 of the GDPR.

12. Changes to this policy

We may update this policy from time to time to reflect changes in how we process personal data or to comply with new legal requirements. Material changes will be communicated by updating the "Last updated" date at the top of this page and, where appropriate, by direct notice to people whose data we hold.
